1. Definitions

Personal Data: the term "Personal Data" means the set of information that relates to the users of the platform and that allows us to identify them, directly or indirectly.
Client: companies/institutions that use the Fleet Management platform to carry out and manage the vehicle fleet, and obtain consumption and expenditure reports on the various registered assets. In this designation we consider the employees of the company/institution with responsibilities for managing the platform.
Users: individual users who are collaborators and/or have some service provision link with the platform's customers and are registered on the platform because they are vehicle drivers and/or have user management responsibilities.

2. Purpose of the Collection and Treatment of Personal Data

End Customer:The personal data that we will collect will be the following categories of data:
• Name – First and last name
• E-mail
• Telephone
• Vehicle
• Vehicle Consumption and Interventions
• Location history

This data is necessary to log in to the application and to be able to consult the information related to the assets made available to the user, sending emails and alerts.

3. Data security

Your data will only be accessed and used by the Customer in accordance with the authorization levels defined by the Customer and the administrators of the FLEET MANAGEMENT platform, to support and correct any errors.
The Client is obliged to comply with the provisions of the personal data protection legislation, namely the EU Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016, and only use the data for the purposes set out in this document.
The Fleet Management platform has implemented technical protection mechanisms to prevent unauthorized access to information, as well as to ensure the integrity and quality of your personal data.
The Client must ensure the necessary technical and administrative measures to protect personal data in its platform management intervention. Users are responsible for keeping their password confidential and the security of the equipment they use to access the platform.

4. Data storage

The period of time during which the data is stored and preserved varies according to the purpose for which the information is collected and processed. In cases where there is no specific legal requirement, the data will be stored and preserved for five (5) years after its collection, on a secure and conditioned access server.
Once the maximum conservation period is reached, your personal data will be anonymized or destroyed / safely deleted

The servers where the site is hosted belong to an external provider whose infrastructure is located in Portugal.
In turn, the server where the database will be hosted is located in Portugal.

5. Use of Cookies

Fleet Management uses cookies to improve the performance and navigation of its Users, allowing them to recognize the User's device when they visit them and avoiding the repeated introduction of information, but which are also necessary.
The cookies used by Fleet Management collect only the login data and the platform's preferred language.

6. User Rights

The General Regulation on the Protection of Personal Data presupposes the transparency of information, communications and the rules for the exercise of the rights of data subjects, which means that the following rights, among others, are provided with:

Right of access: The data subject has the right to access his / her personal data and also, to the purpose of the processing, to the categories of personal data in question, to the recipients to whom the personal data have been or will be disclosed, if possible within the expected period of time. conservation of data, the existence of automated decisions, among others.

Right of rectification: The holder has the right to obtain, without undue delay, from the controller responsible for the rectification of inaccurate personal data concerning him.

Right to erase data (right to be forgotten): The data subject has the right to have the data controller erase their personal data.
